COMMUNITY DAY EXECUTIVE BOARD ROLE DESCRIPTIONS & FIRST DEADLINES

T-Shirt Chancellors— Kara Sullivan , Micaela Vassallo
Responsible for shirt design (you or someone you know). Once the exec board decides on a design, you are responsible for ordering the shirts for all the participants (finding out how many of each size/color shirt).
- T-Shirt Design-We are open to all ideas, you can design them, your friends can, or you can have a design “contest”
- Must Include: Date, Sites, “SJU Community Day”, a Thanks to “Donors”
- Price Comparison
- Last year we used campus t-shirt so you can call them and ask for same prices, they should have it on their system.
- Be sure to say we need several different colors, around 300 shirts total, with one color ink
- Don’t commit to any particular company before speaking with us—don’t make yourself sound committed either J
- Stay in touch with Ryan for current volunteer “roster” for shirt sizes & quantities

Executive Chef— Tim Castanza, Lauren Peak
Responsible for picking the menu, judging amount of food necessary, pricing, as well as getting people together to pick up and set up the food for breakfast before Community Day and the bbq after
- First Deadline: March 13th
- BEFORE 3/13, schedule meeting with Rachel Uff to talk about pricing & menu options
- Ask if we could work the grill ourselves, tell her we did last year
- BEFORE 3/13, contact Tom Rizzo about a donation. Last year they picked up the bill..ask if there is anything left in the fund
- Bring a copy of menu options to the meeting with prices so the Exec Board can discuss

Transportation Gurus— Maria Scumaci, Dannielynn Harris
Responsible for reserving and coordinating transportation. Also responsible for determining the best routes to sites and from sites and getting directions to each site and back to SJU for drivers.
- First Deadline: March 13th
- Contact security, athletics & see if they have any buses that they can donate on 4/12
- Ask Dr. Perry about this
- Please send emails to communitydaysju@gmail.com before sending to them
- Contact Darlene Hutchinson about buses – x1316
- Contact facilities about reserving vans for 4/12 – tell them drivers will be submitted ASAP
- All vans reserved from facilities must have van certified drivers.
- FYI Campus Ministry vehicles are reserved.
Directors of Communications— Meredith Speranza, Nicole Piunti, Stephanie Correale, Thomas Ferraro
Responsible for publicity of Community Day as well as recruiting volunteers!
- Come up with a slogan!
- Responsible for designing and distributing signs and posters -- Post them ALL OVER campus!!!
- **Be sure to get them approved by 3rd floor SLA**
- See someone on the USS for a copy card
- Posting announcements on my.sju
- Any other methods of publicity and recruiting volunteers
- Responsible for making sure there are always people at the sign up tables in the cafeterias during free period and dinner
- Reaching out to OPA, RA’s, mass announcements, campus ministry etc…
- First Deadline: March 10th (also Holly’s 21st b-dayJ)
- Recruitment poster with the following Sign up dates:
- Free Periods: 3/11, 3/13, 3/18, 3/20
- Dinner: 3/11, 3/12, 3/13, 3/18, 3/19
- Post announcement on my.sju with the same information as above by emailing ssottung@sju.edu
- Email Marcy Berney to get in touch with RAs with poster, description & sign up dates. Suggest that Community Day can be a hall program
- Email clubpres@sju.edu to announce signups & any other clubs, people that you know!
- OPA MEETING: MARCH 11TH during free period, MV 310
- Get on agenda to speak about Community Day
- Pass out flyers, sign up sheets, dates

Décor Deputy— Andrea Newton, Ashely LaSala
Responsible for the decorations for the day of the event including signs, balloons, etc. Getting name cards and note cards for day of, decorations for pre-event sign ups, etc.
- First Deadline: March 11th (Pair up with someone from Communications to help you out)
- Banner for Sign ups in Cafeterias for the week
- Banner for Crimson Cafeteria (behind stage)
- Contact Denine Super to write on Hawk Rock chalkboard

Prize Masters—Genevieve Fugere, Justine Thomas
Responsible for getting as many prizes DONATED as possible (at least 20) for the BBQ after Community Day. You can get prizes from within SJU (basketball tickets, SUB event tickets, SJU apparel) or the surrounding SJU community (food or store gift certificates/free stuff).
- First Deadline: March 20th
- Contact different departments on campus to ask for donations
- Athletics apparel, departments donating bookstore items, the bookstore itself, etc.
- Please send emails to communitydaysju@gmail.com before sending to them
- Draft up a letter to take to local businesses for donations
- Contact Ryan, Elise or Holly for last year’s letter – some modifications are needed.
- Brainstorm a list of places, ask exec board for help at meeting
- Have 5 confirmed prizes & tell us about them!
